Dear Regional Council,

Please set the date, if you have not already done so, for your club's annual meeting of sponsors, sending letters out to parents and sponsors as soon as possible and giving them adequate notice. Emphasize how important it is that they attend. You will elect your 2008 officers, decide on your DCs to submit to the RS for approval, plan the club's activities and organizational structure for next year. If you have not already sent a copy of your club's policies to VRS Lisa Carkin, please do so as soon as possible. Your sponsors meeting should be held by Oct 31. Since our regional annual meeting is October 18, 2008, you may want to schedule your club meeting in advance so that new officers as well as current officers may attend and your club paperwork will be complete.

Our Oregon Region Annual Meeting will be held on Saturday October 18, in Eugene at the EWEB building, the same place as last year. A map will be included via snail mail with an attached tentative agenda. It will begin promptly at 9:30 am this year. We will have coffee, juice and rolls on hand when you arrive. Each club needs to bring a salad to share, as in prior years, for a salad luncheon and the region will provide paper products and drinks.

All 2008 DCs are required to attend the annual meeting. The DC is the voting member on the Regional Council for each club. If the DC cannot attend, notification must be made to me by October 15 with the name of the designated representative. New 2009 DCs and Jt DCs are highly encouraged to attend, as are other newly elected officers and parents.

The purpose of the meeting is to review last year's activities and set calendar dates for activities for 2009. Election of regional officers and recommendations for RS and VRSs will be completed. A nominating committee chaired by Tedi Paasch, RIC, has been receiving names of those interested in regional positions for next year and is putting together a slate of officers. Please call or email her with your comments and suggestions.

As you send off your completed year end membership forms to the national office, please send me a copy of EVERYTHING you send to them. You can give your regional copy of the paperwork to me at the meeting, if you wish, to save mailing costs.

We will be proposing that regional dues increase for next year. Dues for new memberships starting between September 1 and December 31 are prorated, and are at this date $35. Prorated fees also apply to the national dues if a member joins during the same period.

Your club fee of $150 is due to the region by November 30 after which time a 25% late fee will be assessed. According to ORUSPC Policy IV, Section 4.05 Membership Fees, fees for renewing members are due by November 30, and will be considered late as of January 1. The late fee is $5.00 per member. The fee for new members joining between January 1 and August 31 is due within 30 days of accepting membership. September 1 through December 31 membership fees are prorated at $35 through the end of the following membership year.

Remember that your completed 2009 Membership Renewal Packets are due to the National office by November 15. Copies of EVERYTHING you send to them should be copied to me by November 1. I MUST REVIEW AND SIGN, as approved, your 2009 List of Officers, then send it to National. Please itemize your fees when sending them to me. Specify who is prorated and the cost, new member vs renewal and club fees.

Please bring your completed regional evaluation form for your club to the meeting.

After you have your sponsors' meetings, please email me with the names of your proposed DCs and Jt. DCs with addresses, both snail mail and email, and phone numbers. Also, update me on any rating changes of members not already updated.

I will need applications for the National Youth Congress before the meeting, so that our representative may be determined.
